What the Supplier Portal is

The Supplier Portal is a web platform developed to simplify and digitise the management of company documentation, offering a single environment in which the administrator and supplier companies can collaborate in a structured, secure and fully traceable way.

The system was created to eliminate the manual management of documents via email, shared folders or local archives, centralising all information in a single web-based platform. Every document is archived, monitored and subjected to a validation process that keeps the compliance status of each company under control.

The entire document flow is automated: the administrator defines the documents required, companies upload them through their reserved area and the system supports every stage of the process, from the initial check to the management of deadlines and renewals.

The problem with manual document management

Email, shared folders and manually updated Excel sheets work as long as there are only a few companies. With dozens of companies and subcontractors it becomes hard to answer simple questions:

?

Which companies are compliant today?

?

Which documents expire in the coming weeks?

?

Which additions have been requested and not yet provided?

?

Who approved a document, and when?

In the Supplier Portal every document has a status, an expiry date and a history, visible to both the administrator and the company.

Two dedicated areas: Administrator and Company

Each profile accesses a dashboard designed around its own needs, while sharing a single, always up-to-date database.

Administrator side β€” complete control, fast decisions

A complete, immediate view of the documentation status of all companies, with quick tools to act on issues and keep compliance high at all times.

Managed company side β€” clarity and guided actions

A simple, guided area for uploading documents, responding to the administrator's requests and keeping your documentation up to date.

Administrator dashboard

The administrator area is designed to provide a complete, immediate view of the documentation situation of all registered companies. Through an intuitive dashboard you can see in real time which companies are compliant, which have issues and which require immediate action.

Each company has a dedicated record from which you can consult all the documentation uploaded, check its status, approve documents or request additions if they are incomplete or non-compliant. The system automatically highlights missing, expiring and expired documents, allowing the administrator to act promptly through update requests or direct communications.

Managed company dashboard: from the very first login you can see the overall status of your documentation and quickly identify any documents to upload, update or supplement, with automatic notifications about approvals, requests and upcoming deadlines.

Tracked document workflow

Every document follows a structured management process that guarantees control of all operations carried out.

1

The administrator defines the documents required

The mandatory documents to be provided and kept up to date are set for each company.

2

The company uploads the documentation

From its reserved area, the supplier company uploads the documents required on its own.

3

The administrator checks the documents

Every uploaded document automatically enters the verification status.

4

Approval or request for additions

The document can be approved or rejected with a detailed reason; the company is notified immediately.

5

The document is validated

Once approved, the document is considered valid and is monitored until it naturally expires.

6

The system monitors deadlines and sends notifications

The entire history of operations remains available on the platform, guaranteeing complete traceability of activities and communications between administrator and company.

Deadlines, notifications and compliance status

The system automatically highlights missing, expiring and expired documents and alerts both the administrator and the company, which updates the documentation from its own area without reminder phone calls. Advanced search, filters and data export let you extract reports for internal checks.

Construction site document management: contractors and subcontractors

On a construction site the principal contractor, contractors, subcontractors, suppliers and self-employed workers work together, entering at different stages of the works. With the Supplier Portal each company uploads the required documents from its reserved area; the administrator checks them, approves them or requests additions and sees the status of all companies on a single screen, with the history always available.

The Portal is one of the components of Daicon's solution for construction site access control, together with turnstiles, identification systems and Gate Plus software. For short-term sites, rental turnstiles for temporary sites are also available.

Integration with Gate Plus access control

Documentation and access: a single control system

The Supplier Portal web platform integrates with our Gate Plus access control system, making it possible to monitor transits at the gates in real time and to disable access for unauthorised people based on documentation compliance. For each software user you can specify the access level they are enabled for and their permissions to use the functions.

In the Supplier Portal

Validated documents and compliance status of each company.

In Gate Plus

Credentials, authorisations and transit recording.

At the gate

Only those authorised by Gate Plus can pass.

A platform designed for compliance

The Supplier Portal is not just a document archive, but a real tool for controlling company compliance. The platform makes it possible to constantly monitor the validity of documentation, plan renewals and prevent non-compliance through a system of automatic notifications and checks.

This approach significantly reduces administrative work, speeds up verification processes and improves the quality of the information available, while providing greater security in managing relationships with suppliers, contractors and external companies.

Thanks to a modular, fully web-based architecture, the Supplier Portal can be configured to the customer's organisational needs and integrated with other company systems, making it a scalable, modern solution ready to support the organisation's growth.

Document management and requirements for companies working on construction sites

On construction sites, company documentation is not just an administrative formality: some checks are required by Italian Legislative Decree 81/2008.

βœ“

Technical and professional suitability: the principal contractor checks it for the executing companies and subcontractors, in accordance with Annex XVII (art. 97, paragraph 2).

βœ“

Identification card: mandatory in contracted and subcontracted work, with photograph, personal details and employer (arts. 18 and 26); on construction sites also the date of hiring and any subcontracting authorisation (Law 136/2010). This data must be consistent with the company's documents.

βœ“

Badge with anti-counterfeiting code: provided for by Decree-Law 159/2025 (Law 198/2025) for building sites; as of September 2026 the implementing decree does not appear to have been published and the current identification card remains applicable. On post-2016 earthquake reconstruction sites it has been mandatory since 13 May 2026 for works worth €500,000 or more (Commissioner's Decree no. 332/2026).

How the Supplier Portal helps

It collects, validates and monitors the documents that the administrator defines for each company. It does not replace the assessments of the client, the principal contractor or the safety coordinator: it makes them orderly and traceable. The full picture is on the page about access control for construction sites and major works.
